Position Overview

As a Customer Service Specialist at arenaflex, you will be responsible for handling inbound calls and various off-phone work items related to our Vehicle Protection Products. This includes addressing customer inquiries about how their agreements work, explaining claim procedures, coverage details, and relaying claim determinations. You will also interact with repair facilities and service providers regarding claim payment delays and processing.

This position requires a unique blend of technical knowledge, interpersonal skills, and problem-solving abilities. You'll need to navigate multiple systems, learn and adhere to departmental scripts and processes, and maintain quality assurance metrics while providing exceptional service to every customer.

  • Starting Pay: $17.00 per hour

Key Responsibilities

As a Customer Service Specialist at arenaflex, your primary responsibilities will include:


  • Customer Inquiry Management: Address questions from customers regarding how their vehicle protection agreements work, including explaining coverage details, claim procedures, and policy specifics in a clear, professional manner.

  • Claim Processing: Relay claim determinations to customers, including explaining the reasoning behind approved or denied claims while maintaining empathy and professionalism.

  • System Navigation: Learn to navigate multiple internal systems efficiently, including mainframe systems, to access customer information, policy details, and claim data.

  • Quality Assurance: Adhere to departmental scripts, processes, quality assurance metrics, average handle time (AHT), and call volume metrics to ensure consistent service quality.

  • Repair Facility Communication: Handle inbound and outbound calls with repair facilities and service providers related to claim payment delays, processing issues, and resolution.

  • Off-Phone Work Items: Complete various off-phone tasks including claim audits, processing claim payments, working inbound and outbound emails and faxes, and managing payment requests in queues.

  • Payment Processing: Handle payment plan updates and manual payment requests as needed.

  • Documentation: Maintain accurate records of all customer interactions and transactions in the appropriate systems.

  • Bilingual Support: If bilingual, demonstrate the ability to speak, read, and write the Spanish language fluently to serve our diverse customer base.

Note: This position does not involve cold calling, outbound calls related to solicitations, contract upgrades, or sales of any kind. This is a service-focused role centered on customer support and claim handling.

Working Hours and Schedule

arenaflex operates Monday through Friday from 6:00 AM to 9:00 PM Central Time and Saturday from 7:00 AM to 7:00 PM Central Time. As a Customer Service Specialist, you must be able to work any shift within these hours, including required Saturdays.

Work schedules are generally set for several months at a time but are subject to change based on business needs. arenaflex conducts periodic shift bids that help determine employee work schedules. Candidates must have a reasonable degree of schedule availability and flexibility to work varying schedules throughout the year. Shifts for this position are typically 8 hours per day and can range anywhere between 6:00 AM to 9:00 PM Central Time.

Qualifications and Requirements

Essential Qualifications:

  • High school diploma or GED
  • One year of experience in an office, call center, or customer contact environment

  • Previous experience as a team leader or trainer in an office, call center, or customer contact environment
  • 620, 440, or other applicable and relevant licenses or certifications
  • Bilingual proficiency in Spanish (speak, read, and write fluently)
